Privacy Policy
Effective
Cohort is a product of Collective Matrix, Inc. This policy explains how we handle personal information when providing Cohort. An organization using Cohort generally decides why and how its workforce, candidate, recruiting, and customer data is processed; for that data, the organization is the controller and we act as its service provider or processor. We act as controller for our own account, security, support, service-improvement, and legal-compliance data.
Information we collect
Depending on how Cohort is used, we may process:
- account and identity data, such as name, organization, role, login identifiers, and verification status;
- contact and communication data, including email, mobile number, consent choices, and message records;
- candidate, employee, recruiting, referral, interview, application, document, and workflow data submitted by users or their organizations;
- support, feedback, and request content;
- security, audit, device, browser, network, usage, and diagnostic data; and
- transactional email delivery and engagement metadata, such as sends, deliveries, bounces, complaints, and, where enabled, opens or link clicks.
Sources and purposes
We receive information from you, your organization and its users, applicants and contacts, connected services chosen by the organization, communications providers, and normal use of Cohort. We use it to provide and administer the Service; authenticate users; process recruiting and workforce workflows; send requested or relationship communications; support users; secure, monitor, and troubleshoot Cohort; improve reliability and accessibility; comply with law; and enforce agreements. We do not use Cohort browser data for cross-site behavioral advertising.
Disclosures
We disclose information only as needed to the organization controlling it; to authorized users and recipients; to infrastructure, hosting, storage, security, authentication, communications, email, SMS, support, and professional service providers acting for us; in a business transaction; to comply with law or valid legal process; or to protect rights, safety, and the Service. We do not sell personal information.
We do not sell or share mobile numbers, SMS consent, or opt-in data with third parties or affiliates for their marketing or promotional purposes. We provide such data to communications providers only as needed to deliver and administer the Cohort SMS program or as required by law.
Retention and security
We retain information for as long as needed to provide the Service, follow the controlling organization's instructions, maintain security and audit records, resolve disputes, enforce agreements, and meet legal obligations. Retention depends on data type, sensitivity, purpose, contract, account status, and legal requirements. We use administrative, technical, and organizational safeguards, but no system can guarantee absolute security.
Your choices and rights
Account tools may let you review or update information and communication preferences. You may opt out of Cohort texts by replying STOP and request help by replying HELP. If your information is controlled by your employer or another Cohort customer, direct access, correction, deletion, portability, restriction, or objection requests to that organization. For information we control, you may submit a request through the contact method below. We may verify requests and apply exceptions permitted by law. Authorized agents may submit requests where applicable law allows. Where applicable, you may appeal a denied request and may withdraw consent for processing based on consent; withdrawal does not affect processing that was lawful before withdrawal or processing supported by another lawful basis.
Children
Cohort is a business service and is not directed to children under 16. We do not knowingly collect personal information directly from children under 16 through public Cohort account registration. Organizations are responsible for lawful handling of any minor's information they submit.
Processing location
We and our providers may process information in the United States and other places where we operate. Where required, we use appropriate contractual or legal safeguards for cross-border transfers.
Browser privacy signals
Cohort does not currently conduct cross-site tracking or use browser data for targeted advertising, so it does not respond differently to Do Not Track or similar browser signals. See our Cookie Notice for the limited storage Cohort uses.
Changes
We may update this notice as Cohort or applicable requirements change. We will post the updated notice with a revised effective date and provide additional notice when required.
